How to split up large tasks/projects

Learn how to break up large projects so other tasks can be mixed in along the way

Updated today

If you have tried to schedule a large task (ex: 10+ hours), you may have noticed that FlowSavvy will schedule that entire task before scheduling anything else, and some of the blocks it schedules may be longer than you want to work on the task in one sitting.

The way to solve both of these problems is to break the large task down into a smaller task that repeats.

For example, let's say it's January 1st and you have a 20-hr task due on January 10th. Instead of creating a 20-hr task due on January 10th, try creating a 2-hour task due January 1st (not the 10th! This is the due date of the first occurrence) and make it repeat daily for 10 occurrences. This means 2 hours will be due on the 1st, another 2 hours will be due on the 2nd, and so on until the 10th. 2hrs * 10 occurrences = 20hrs total

To make the blocks more flexible, you can change the "Each occurrence can be started __ days before its due date" setting.

This is super customizable, so you can tweak it as much as you need! If you want to work in bigger chunks, you can set up 5 hours due every 3 days ending after 4 occurrences (20 hours total still). Want to jump back and forth between two tasks? Make one due today and the other due tomorrow, and then make both of their due dates repeat every 2 days so they alternate every day.

Hopefully this helps you make your large tasks a little more realistic by spreading them out, and if you still have questions about how to set this up, please reach out and we'll be happy to help!
