What are scheduling hours?
The "scheduling hours" feature allows you to tell FlowSavvy which tasks can be scheduled when. For example, you might want FlowSavvy to only schedule tasks during the day, but not on the weekend.
A more complex example might be that you might want work tasks to only be scheduled 9am-5pm on weekdays, personal tasks only in the evenings and on weekends, and you have some tasks that can only be done in the morning but it doesn't matter which day.
The free plan has access to one scheduling profile. This is ideal for people that plan to use FlowSavvy for either just work or just personal life. Upgrade to Pro to get access to unlimited scheduling profiles.
How to change your scheduling hours
In the FlowSavvy menu, click Settings > Scheduling Hours.
βChoose the scheduling hours you want to edit.
βChange the hours on each day to reflect when you want tasks to be scheduled.
Use the plus button to add multiple time ranges to the same day, and use the copy button to copy hours to other days
Don't forget to choose the scheduling hours you want each task to be scheduled in! You can choose the scheduling hours when creating or editing a task.
How to change your scheduling hours for just specific days
Sometimes you might want to change your weekly hours on a specific date. For example, maybe you'll be out of office on January 15th, so you don't want any work hours that day, and you want to extend your personal hours that day instead.
To do this, add a "date override" at the bottom of the scheduling hours page for each day your scheduling hours will be different. If you're changing multiple scheduling hours (Ex: changing both work hours and personal hours on a specific day), you'll need to add a date override for each set of hours.
How to block an entire day for all scheduling hours
You might find yourself wanting to block an entire day so no tasks in any scheduling hours profile are scheduled that day. For example, a weekend where you'll be out of town, or a day you'll be at a wedding the whole day.
Adding a date override on each scheduling hours profile might be a pain, and while there isn't a way to edit scheduling hours in bulk, if you want to completely block off a day for all scheduling hours, the easiest way to accomplish this is to create an all-day event and make sure "Busy" is turned on, like this:
This will create a busy, all-day event that blocks off the entire day so no tasks from any scheduling hours profile will be scheduled that day.
How to add a task to multiple scheduling hours profiles
While there isn't a way to select multiple scheduling hours, a workaround for this is to create scheduling hours that combine other hours. For example, if a task can be done in either personal hours or work hours, you can create another scheduling hours set called "Personal+Work" or "Anytime", include any applicable hours, and then select that scheduling hours set when creating a task.
How to make FlowSavvy work with irregular scheduling hours
If your schedule is not the same every week (for example, alternating weekly schedules, or irregular/unpredictable shifts), you'll need to use the scheduling hours feature a little differently.
If you're using FlowSavvy for only personal OR work, but not both, the solution will be to use repeating events to block off the time you are unavailable, instead of using scheduling hours to say when you're available. Then, set your scheduling hours to be always available (ex: 6am-10pm), and just use the events to control your availability. FlowSavvy will then auto-schedule tasks only in the time you're available.
For example:
Schedule alternates every week? β Block off the times you're not available with events that repeat every 2 weeks. If you create one set of events that repeat every 2 weeks, and then another set the next week that also repeats every 2 weeks, you now have 2 weekly schedules that alternate back and forth every week.
Irregular or unpredictable shifts? β First, use repeating events to block off the time you're not available (just create a rough estimate of what the average week looks like). Then, once you get your shift schedule for the week, you can then easily drag the events around to make room for your shifts for that week. This is just a little more convenient than editing your scheduling hours every week, and allows you to have different schedules for multiple weeks at a time.
If you use FlowSavvy for both personal hours and work hours, using events to block the time you're unavailable won't work for your use case, since events block all scheduling hours. The best workaround at the moment is to adjust the scheduling hours manually every week.
